A policy review checklist for content, ownership, and records

Work through a repeatable review before a policy is approved, communicated, or gathered for an internal review.

The useful takeaway

Review the policy and the process around it: accuracy, ownership, approval, communication, and the records you need to retain.

Agree on the purpose of this review

A scheduled content review, a substantial policy change, and preparation for an internal records review are different tasks. Identify what triggered this review and who is responsible for completing it.

Use the checklist to structure the work, then add subject-specific questions that belong to your organization. It is not an exhaustive audit program or a certification checklist. An item marked complete should point to a decision or record rather than stand in for one.

Check the guidance itself

Ask the owner and appropriate subject-matter reviewers whether the document reflects current operations. Check that expectations are clear, responsibilities are assigned, and references still lead to the correct supporting guidance.

Look for contradictory instructions, terms used inconsistently, and procedures that no longer match the way work is authorized. Record unresolved questions with an owner and a next step.

  • Is the purpose clear and the audience correctly defined?
  • Are roles and responsibilities still accurate?
  • Have relevant organizational changes been considered?
  • Are related documents, procedures, and references current?
  • Have the required specialist reviewers assessed the content?

Check document control and approval

Confirm that the document has an identifiable owner and version. Check that the approval record concerns the exact version intended for release and that the approving role has the required authority in your process.

If a policy is being retired, decide how people will find replacement guidance and how historical copies will be retained or handled. Retention requirements and access controls should follow your organization’s approved practices.

  • Owner, identifier, and version are recorded.
  • Status and effective date are clear.
  • Required approvals and unresolved conditions are documented.
  • Prior versions can be distinguished from current guidance.

Check the handoff to employees

Confirm the audience and where the approved policy will be available. Describe what changed in language the audience can use, and determine whether acknowledgment or separate training is appropriate.

Review outstanding responses in context. Keep exceptions, access problems, and unanswered questions visible rather than treating every missing response as the same issue.

Close with a traceable result

Record the review outcome: no change, revision required, approved for release, or retirement. Name the person responsible for each outstanding action and retain the review record with the policy reference.

For internal review preparation, test whether you can locate the current policy, relevant historical version, approval decision, and acknowledgment records. The downloadable checklist includes space for evidence references and open actions so the outcome remains usable after the meeting.
